CBSE directs schools to verify students’ demographic details, warns against incomplete correction requests

CBSE has asked schools to tighten checks on students’ demographic information in Board examination records and ensure that correction requests are backed by complete, certified documents.

The Board said schools must verify students’ details across all official records, including admission forms, scholar registers and admission withdrawal registers.

They have also been instructed to follow CBSE requirements applicable during student registration and submission of the List of Candidates (LOC).

CBSE said multiple checks are already built into the examination process to minimize errors in demographic information before results are announced.

These include verification at the time of Class 9 registration, correction windows following registration and LOC submission, and checks through Registration Cards and admit cards.

Students, parents and school principals are also given opportunities to confirm the accuracy of the information recorded by schools.

The Board said similar verification procedures are followed during Classes 11 and 12. Taken together, these stages give schools and parents around 20 opportunities to check and confirm students’ demographic details before the examination results are declared.

Despite the multiple verification stages, CBSE said it continues to receive a substantial number of correction requests after results are released. The Board also pointed to deficiencies in the documents submitted with such applications.

According to CBSE, several correction requests do not include records from all schools previously attended by the student, where such documents are required. Some submissions are also difficult to process because the documents are unclear or contain multiple cuttings.

The Board further noted that schools sometimes fail to respond when CBSE seeks additional documents or clarification. Such delays can prolong the processing of requests for changes in examination records.

To reduce these issues, CBSE has instructed schools to ensure that demographic information recorded in their registers and other documents is 100% accurate.

Schools must also comply with the Board’s instructions at the registration and LOC stages and obtain confirmation from parents that the details submitted are correct.

When forwarding a correction request to CBSE, schools are required to submit all applicable certified records from the student’s previous schools.

CBSE said providing complete and properly certified documentation would allow the Board to process correction requests within the minimum possible time. "In case, incomplete requests are received, the same will be summarily rejected by the CBSE," the Board said.

Students asked to submit correction requests through schools

CBSE has also advised students not to approach the Board independently for changes in their demographic information.

The Board said some students have been sending requests directly, issuing legal notices or approaching courts instead of routing their applications through their schools.

Schools have been asked to guide students to follow the prescribed process and submit correction requests through the respective school authorities.

The Board said pursuing these alternative channels may delay the resolution of correction cases because the relevant school records required to verify the requested changes may not be available with CBSE.

The directions are aimed at ensuring that student information is verified at the school level and that any correction requests reaching the Board contain the records needed for examination and administrative verification.
